    Job Description

    Salix Data is seeking an HR Officer to coordinate recruitment, onboarding, and day-to-day HR administration. The role involves managing employee records, leave, contracts, and HR reports, while supporting a technology-enabled HR function. The ideal candidate is organized, detail-oriented, and eager to grow in HR.

    Key Responsibilities

    • Coordinate the recruitment process from approved vacancy through to successful onboarding.
    • Coordinate job advertisements, candidate pipelines, interviews and assessments.
    • Maintain timely communication with candidates and hiring managers.
    • Coordinate background checks and pre-employment requirements.
    • Support preparation and issuance of employment offers and contracts.
    • Coordinate onboarding activities and documentation.
    • Ensure recruitment and onboarding records are complete and accurate.
    • Monitor outstanding recruitment actions and ensure they are followed through.
    • Manage the day-to-day HR administration that supports employees throughout their employment.
    • Maintain accurate and confidential employee records.
    • Coordinate employment contracts, probation, confirmation and other employee lifecycle documentation.
    • Manage leave administration and maintain accurate leave records.
    • Monitor attendance-related information and escalate recurring or significant issues.
    • Coordinate employee changes such as transfers, promotions and other employment updates.
    • Ensure required HR documentation is completed, properly maintained and accessible to authorized users.
    • Support routine employee HR queries and escalate complex or sensitive matters to the HR Manager.
    • Ensure that core HR processes are completed accurately, consistently and on time.
    • Maintain HR information in relevant systems and databases.
    • Prepare routine HR reports relating to areas such as headcount, recruitment, leave, contracts and employee movements.
    • Validate HR information and identify discrepancies or missing data.
    • Monitor key HR deadlines and milestones and proactively follow up on outstanding actions.
    • Support HR audits, compliance activities and other operational requirements.
    • Maintain appropriate HR files and documentation.
    • Help create a responsive and professional employee experience.
    • Serve as a first point of contact for routine HR queries.
    • Provide employees with accurate guidance on established HR processes and policies.
    • Support employee engagement activities and HR initiatives.
    • Coordinate training logistics and maintain relevant records.
    • Support employee communications and HR events.
    • Identify recurring employee concerns and bring them to the HR Manager's attention.
    • Help build a more efficient, technology-enabled HR function.
    • Use HR systems, digital tools and AI to improve HR administration and workflow management.
    • Review system-generated information and ensure it is accurate and actionable.
    • Identify opportunities to simplify, automate or improve repetitive HR processes.
    • Support the development and maintenance of HR SOPs, checklists and workflows.
    • Contribute ideas that improve the efficiency and quality of HR services.

    Required Qualifications

    • A Diploma or Bachelor's degree in Human Resources, Business Administration, Management or a related field.
    • Some experience in HR, recruitment or administration.
    • Strong organization and attention to detail.
    • Excellent written and verbal communication skills.
    • Strong follow-through and ability to manage multiple priorities.
    • Good working knowledge of Microsoft Office.
    • Ability to handle confidential information with maturity and discretion.
    • A proactive approach to work and a willingness to take ownership.
    • A genuine interest in developing a career in HR and People Operations.
    • CHRP or progress toward a professional HR qualification.
    • Experience with an HRIS or recruitment system.
    • Exposure to recruitment coordination and employee onboarding.
    • Familiarity with AI and digital productivity tools.
    • Experience in a fast-paced or growing organization.
