    Rapha Hospitals and Clinics is seeking to recruit two (2) competent and results-driven Procurement Officers to strengthen its supply chain and procurement operations at its Eldoret facility. This role is critical in ensuring the uninterrupted availability of medical supplies, pharmaceuticals, equipment, and general consumables required for quality patient care.

    The Procurement Officer will be responsible for planning, sourcing, purchasing, and managing hospital supplies and services in a cost-effective, timely, and compliant manner. The role involves close coordination with clinical departments, stores, finance, and suppliers to ensure that all procurement activities support uninterrupted healthcare delivery.

    This position is ideal for professionals with experience in hospital procurement, inventory control, and supply chain operations, who understand the sensitivity and urgency associated with medical supplies and healthcare services.

    Key Responsibilities

    1. Plan and execute procurement activities for medical supplies, pharmaceuticals, equipment, consumables, and services in accordance with hospital needs and budgets.
    2. Prepare and process purchase requisitions, purchase orders, and procurement documentation in line with internal policies.
    3. Ensure timely sourcing and delivery of goods and services to prevent stock-outs that could affect patient care.
    4. Identify, evaluate, and prequalify reliable suppliers in compliance with hospital procurement policies.
    5. Maintain an updated supplier database, including approved vendors for medical and non-medical supplies.
    6. Negotiate pricing, delivery terms, warranties, and service agreements to achieve best value for money.
    7. Build and maintain professional, ethical, and long-term supplier relationships.
    8. Work closely with the stores team to ensure proper inventory planning, stock monitoring, and replenishment.
    9. Support effective stock control practices, including FIFO (First In, First Out) and batch/expiry tracking for medical items.
    10. Assist in periodic stock takes and audits, investigating and resolving discrepancies where necessary.
    11. Ensure optimal stock levels to balance availability with cost control and minimize wastage or expiries.
    12. Ensure all procurement activities comply with internal policies, healthcare standards, and relevant regulations.
    13. Verify that procured medical items meet required quality, safety, and regulatory standards.
    14. Support documentation and traceability requirements for audits and inspections.
    15. Liaise with clinical departments, pharmacy, stores, finance, and management to understand procurement needs and priorities.
    16. Provide timely updates on procurement status, delivery schedules, and supply challenges.
    17. Support budget tracking and cost control initiatives in collaboration with the finance department.
    18. Prepare procurement reports, supplier performance evaluations, and cost analysis reports as required.
    19. Maintain accurate procurement records, contracts, and supporting documentation.
    20. Contribute to continuous improvement initiatives within the procurement and supply chain function.

    Required Qualifications

    Academic Qualifications: Degree or Diploma in Procurement, Supply Chain Management, Purchasing, Logistics, or a related field from a recognized institution.

    Professional Experience: Previous experience in procurement or supply chain operations, preferably within a hospital, clinic, or healthcare environment.

    1. Practical knowledge of hospital inventory systems, medical supplies, and procurement workflows.
    2. Experience handling vendor negotiations, purchase orders, and inventory coordination is an added advantage.

    Technical and Professional Skills: Strong understanding of procurement principles and supply chain management.

    1. Knowledge of inventory management practices, particularly in healthcare settings.
    2. Ability to analyze supplier quotations, evaluate value for money, and manage procurement costs.
    3. Proficiency in record-keeping, documentation, and procurement reporting.

    Personal and Interpersonal Skills: High level of integrity, honesty, and accountability.

    2. Ability to work under pressure and manage competing priorities in a fast-paced hospital environment.
