    Job Description

We are seeking a sharp, detail-oriented RFP Research, Analysis & Response Associate to drive our proposal pipeline. In this role, you will be responsible for identifying high-value RFP/RFI/Tender opportunities, dissecting complex solicitation requirements, coordinating internal stakeholders, and writing compliant, winning proposal responses.

    Key Responsibilities

    • Opportunity Sourcing & Tracking: Continuously scan, filter, and track public and private procurement portals (government, municipal, international, and commercial platforms) for matching RFP/Tender opportunities.
    • Requirements Analysis & Compliance Mapping: Review detailed solicitations (RFPs, RFIs, RFQs), build compliance matrices, and execute Go/No-Go screening to ensure alignment with company capabilities.
    • Proposal Drafting & Editing: Write clear, persuasive, and custom proposal narrative sections—including executive summaries, company qualifications, operational methodologies, and project management plans.
    • Cross-Functional Coordination: Collaborate with technical leads, operations teams, and leadership to gather input, pricing data, technical specifications, and past performance references.
    • Submission Management: Assemble, format, proofread, and upload final proposal packages prior to strict submission deadlines, ensuring 100% adherence to administrative and technical guidelines.
    • Knowledge Base Maintenance: Build and maintain an updated repository of boilerplate content, case studies, past proposal responses, standard operating procedures, and company credentials.

    Required Qualifications

    • 2–4 years of experience in bid management, tender preparation, proposal writing, or procurement analysis.
    • Proven track record submitting proposals to state agencies, international organizations, or enterprise B2B clients.
    • Exceptional written and verbal English skills with strong editing and technical narrative writing capability.
    • High proficiency in MS Word (advanced formatting, styles, tables), Adobe Acrobat, Excel, and Google Workspace.
    • Exceptional project management skills—able to run multiple proposal timelines simultaneously under tight deadlines.
    • Bachelor's degree

    Master the Compliance Matrix

In RFP work, your ability to map every requirement to a response section is what separates winners from also-rans. Hiring managers will probe how you handle tight deadlines and cross-functional input.

    1. Show your process: Walk them through your Go/No-Go screening and compliance matrix workflow. Have a sample matrix ready to discuss.

    2. Prove your writing: Bring a portfolio of past proposal sections—executive summaries, methodologies, or management plans. Highlight how you tailored each to the client's language.

    3. Know the tools: Be ready to demonstrate advanced MS Word formatting (styles, tables, TOC) and Adobe Acrobat skills. Mention any experience with proposal management software.

    4. Coordinate like a pro: Share a story of how you wrangled inputs from technical and finance teams under a tight deadline. Show you can keep stakeholders accountable.

    5. Research the buyer: Before the interview, study Go Truckin's past wins and the types of tenders they target. Speak to how you'd source similar opportunities.

    6. Quantify your impact: If you've improved win rates or turnaround times, put numbers on it. Even a rough percentage shows you think in outcomes.

    7. Prepare for a writing test: Many RFP roles include a timed writing exercise. Practice drafting a concise, persuasive executive summary under pressure.

    8. Ask smart questions: Inquire about their current proposal pipeline, tools they use, and how they measure success. It shows you're already thinking like a team member.
