    Job Description

    This role covers the employee life cycle from onboarding to exit, keeps employee records and HR systems accurate, and handles first line queries from employees and line managers. It suits someone early in an HR career who wants to learn business partnering by doing the operational work that sits underneath it, with guidance from an experienced HRBP.

    Key Responsibilities

    • Keep employee data accurate and current on the HR information system.
    • Process joiners, movers and leavers, prepare contracts and letters, and keep employee files complete and secure.
    • Coordinate inductions for new joiners, prepare their paperwork and system access ahead of day one, and check in with them through probation.
    • Answer employee questions on policy, leave, medical cover and benefits within set turnaround times.
    • Refer matters that need advisory input to the HR Business Partner.
    • Coordinate interview scheduling, candidate communication, reference and background checks, and offer documentation for roles in your business unit.
    • Take accurate minutes at disciplinary and grievance meetings, maintain case files, and track review dates for probation and performance improvement plans.
    • Prepare monthly headcount, leave, attrition and probation reports, and flag anything that looks wrong in the data.
    • Assist with engagement activities, wellbeing sessions and policy awareness sessions for your business unit.

    Required Qualifications

    • A degree in Human Resource Management or a related field.
    • 1 to 2 years of HR experience, which can include an internship, attachment or HR assistant role.
    • Registration with the Institute of Human Resource Management an added advantage.
    • Strong organizational and attention-to-detail skills, with the ability to manage multiple requests simultaneously without losing track of any.
    • Discretion when handling private employee information and maintain appropriate privacy at all times.
    • Strong written and verbal communication skills, with the ability to communicate clearly and professionally with employees at all levels.
    • Experience interacting with HRIS systems and proficiency in computer applications.

    This role is the engine room of HR—data, paperwork, and first-line queries. Hiring managers will be looking for proof that you can keep records accurate, meet deadlines, and handle sensitive information with care.

    1. Prove your HRIS comfort: On your CV, list the HRIS you have used (e.g., SAP SuccessFactors, Workday, or local systems) and give a concrete example of how you maintained data accuracy. If you have no formal HRIS experience, mention any database or spreadsheet work that shows you can handle systems.

    2. Prepare for scenario questions: Expect questions like 'How would you handle an employee query about leave you don't know the answer to?' or 'How do you prioritize when multiple managers need reports at once?' Practice structured answers that show you stay calm and methodical.

    3. Highlight your confidentiality muscle: Give an example where you handled sensitive information—like payroll, medical records, or disciplinary matters—and explain how you kept it private. This is a non-negotiable for HR roles.

    4. Show you know the employee lifecycle: Walk through the steps from onboarding to exit in your interview—what documents are needed, how you would track probation, and how you would support a smooth offboarding. This shows you understand the full picture.

    5. Brush up on Kenyan labour law basics: Know the Employment Act, especially around contracts, leave, and termination. You don't need to be a lawyer, but showing you understand the legal framework will set you apart.

    6. Demonstrate your communication style: HR is about talking to people at all levels. Prepare a short example of how you explained a policy to a colleague or resolved a misunderstanding. Keep it clear and professional.

    7. Show you're a quick learner: Since this is an entry-level role, emphasise your willingness to learn from the experienced HRBP. Give an example of a time you picked up a new skill quickly, like learning a new software or process.

    8. Ask smart questions: In your interview, ask about the team structure, the HRIS they use, and what a typical day looks like. This shows you're genuinely interested in the operational side of HR and ready to hit the ground running.
