    Job Description

This role leads the end-to-end customer order-to-delivery interface for transport operations, coordinating order execution, distributor engagement, driver deployment, and cross-functional service recovery. The position ensures reliable, accurate, and timely deliveries, transparent customer communication, and disciplined performance improvement to strengthen customer satisfaction and operational efficiency.

    Key Responsibilities

    • Own end-to-end execution of confirmed customer orders from receipt through dispatch, delivery confirmation and closure.
    • Validate order information and coordinate accurate order entry, updates and authorized modifications with the client customer service team.
    • Translate customer priorities into executable delivery plans with clear cut-off times, sequencing and service commitments.
    • Maintain real-time visibility of order and delivery status, escalating risks before customer commitments are missed.
    • Coordinate dispatch readiness, delivery documentation and proof-of-delivery completion.
    • Reconcile open, failed or incomplete deliveries and drive each item to documented closure.
    • Ensure order-to-delivery activities comply with agreed customer procedures, controls and service standards.
    • Act as the principal operational contact for key distributors on order status, delivery schedules, availability constraints and service exceptions.
    • Build trusted, professional relationships through accurate information, reliable follow-through and proactive communication.
    • Capture distributor requirements and recurring service concerns, then coordinate practical responses with the relevant teams.
    • Proactively identify delivery risks, delays, shortages and distribution constraints and initiate service-recovery actions.
    • Lead structured root-cause reviews for material or recurring failures and assign corrective and preventive actions.
    • Escalate critical service risks with clear impact, ownership, recovery plan and decision requirements.
    • Verify that corrective actions are sustained and reflected in improved delivery outcomes.
    • Align daily order priorities, delivery schedules and customer communications with the client customer service team.
    • Coordinate drivers against the delivery plan and provide clear route, timing, documentation and customer-service expectations.
    • Monitor delivery execution and intervene promptly when performance deviates from agreed standards.
    • Maintain an accurate performance view covering order accuracy, delivery timeliness, customer experience, driver execution and issue resolution.
    • Prepare concise performance reports that explain trends, root causes, operational risks and required management actions.
    • Lead improvement initiatives that simplify process flow, reduce lead time and improve reliability and customer experience.
    • Standardize successful practices and track improvements to ensure gains are sustained.

    Required Qualifications

    • Minimum 5 years of relevant experience in customer service, logistics or supply chain operations, including responsibility for order-to-delivery execution and customer-facing service management.
    • Bachelor's degree in business, Supply Chain Management or a related field.
    • Demonstrated experience coordinating large-scale delivery operations, working with key distributors and managing service priorities across customer service, transport operations and drivers.
    • Working knowledge of structured problem solving, performance reporting and continuous improvement methods.
    • Supply chain, transport or logistics industry experience, with practical exposure to customer service and distribution operations.
    • National business knowledge and the ability to work effectively across diverse cultural and stakeholder environments.

Own the Order-to-Delivery Chain Like a Pro

This role sits at the nerve center of DHL's transport operations, where every order, driver, and distributor depends on your coordination. Hiring managers will probe how you've handled real-time delivery pressure, recovered from service failures, and driven performance improvements.

    1. Show proof of end-to-end ownership: On your CV, highlight specific examples where you managed orders from receipt to delivery closure, especially in large-scale operations. Quantify the volume of orders or deliveries you coordinated, and mention any tools you used for tracking and reporting.

    2. Demonstrate distributor management skills: Be ready to discuss how you've built trust with key distributors, handled their concerns, and turned recurring issues into actionable improvements. Prepare a story that shows your proactive communication and follow-through.

    3. Prepare for root-cause analysis questions: Expect to be asked how you've led structured problem-solving for delivery failures. Walk through a specific incident, the tools you used (like 5 Whys or fishbone diagrams), and the corrective actions you implemented.

    4. Highlight your reporting capability: This role requires concise performance reports that explain trends and risks. Bring samples of reports you've created, showing your ability to turn data into clear insights for management.

    5. Show your cross-functional coordination: You'll align customer service, transport ops, and drivers daily. Give examples of how you've managed competing priorities and communicated expectations across teams to meet service commitments.

    6. Emphasize continuous improvement wins: Share a specific initiative you led that simplified a process, reduced lead time, or improved reliability. Quantify the impact, such as a percentage reduction in delays or improved customer satisfaction scores.

    7. Understand the Kenyan logistics landscape: Be ready to discuss the unique challenges of distribution in Kenya, such as traffic, infrastructure, and diverse stakeholder expectations. Show your national business knowledge and cultural sensitivity.

    8. Prepare for scenario-based questions: The interviewer may present a real-time delivery crisis and ask how you'd respond. Practice articulating your decision-making process, including how you'd escalate risks and communicate with the client.
