    Job Description

    The successful candidate will manage the Founder's client-facing schedule, coordinate the client journey, maintain an accurate CRM, and deliver an exceptional customer experience while proactively driving leads through the sales pipeline.

    Key Responsibilities

    • Manage the end-to-end client journey by reviewing enquiries, qualifying leads, coordinating discovery calls, preparing design briefs, scheduling site visits, and ensuring every opportunity progresses to a documented conclusion.
    • Prepare client proposals, agreements, and other client documentation using approved templates while maintaining accurate project records and files.
    • Manage the Founder & CEO's client-facing calendar by scheduling meetings, coordinating appointments, preparing meeting materials, recording meeting minutes, and following up on action items.
    • Proactively follow up on leads, proposals, and client enquiries to maintain pipeline momentum and maximize conversion opportunities.
    • Manage client communication across WhatsApp, email, Instagram, TikTok, and other approved channels, ensuring timely, professional, and consistent responses.
    • Maintain the CRM as the single source of truth by updating client interactions, pipeline activities, and preparing weekly sales and activity reports.
    • Work closely with the Founder to anticipate priorities, resolve issues proactively, recommend solutions, and ensure a seamless client experience throughout every engagement.

    Required Qualifications

    • Bachelor's degree in Business Administration, Marketing, Communications, Hospitality Management, or a related field.
    • At least 3 years' experience in an Executive Assistant, Client Relationship, Customer Success, Sales Coordination, Business Development Support, or similar client-facing role.
    • Proven experience managing executive calendars, coordinating meetings, following up on leads, and maintaining CRM systems.
    • Excellent communication, interpersonal, organizational, and relationship management skills, with the ability to work independently in a fast-paced environment.
    • Previous experience in interior design, architecture, construction, real estate, hospitality, consulting, or another professional services environment will be an added advantage.
