    Job Description

As Venture Finance Officer for Venture Kenya, you'll be the person who makes sure money in the venture moves the right way — in, out, and everywhere it needs to be tracked. You'll review payment requests against approved budgets, oversee a small team handling receipts, disbursements, and record-keeping, and make sure every transaction has the paperwork to back it up. Day to day, that means checking that incoming funds were logged and protected the moment they arrived, approving payments once you've confirmed invoices are in order, chasing down any missing documentation before it becomes a bigger problem, and pulling together monthly financial reports for the Country Director and Holding Finance. You'll be the person who can answer "where does that transaction stand?" at any moment, because the records are always current — not scrambled together before an audit.

    Key Responsibilities

    • Ensure all incoming funds are correctly recorded and protected on the day they're received
    • Review and approve payment requests against approved budgets, ensuring invoices and supporting documentation are complete before processing
    • Oversee the Income & Receipts, Disbursements & Payments, and Records, Assets & Financial Reports functions to keep transactions accurate and traceable
    • Maintain complete, audit-ready financial records with zero missing invoices or unreconciled transactions
    • Compile and submit monthly financial reports to the Country Director and Holding Finance on time
    • Flag and resolve missing documentation or financial discrepancies before month-end close
    • Escalate any payment requests above approved thresholds, or any signs of financial irregularity, promptly and appropriately
    • Respond to financial queries from division heads, auditors, and Holding Finance as they arise

    Required Qualifications

    • A degree or professional qualification in Finance, Accounting, or a related field
    • Solid experience in financial management, budgeting, or accounting — ideally within an operational, field-based, or nonprofit/social-impact organization in Kenya or the wider East Africa region
    • A strong eye for detail and comfort working with budgets, reconciliations, and financial reporting
    • The judgment to know when to approve a payment, when to hold it, and when to escalate — and the confidence to do so
    • Clear communication skills, able to explain financial status and requirements to non-finance colleagues division heads, field teams as easily as to Holding Finance
    • Integrity and discretion, given the sensitivity of financial data and the audit trail required for carbon credit certification
    • Familiarity with Kenyan financial regulations, tax requirements, and banking practices
    • Comfort working within a structured reporting line, while still exercising sound independent judgment day to day
    • Bonus: experience with financial reporting requirements tied to certification, compliance, or audit processes e.g., carbon credit programs, grant compliance, or similar

Show You Can Own the Audit Trail

This role lives and dies by clean records and timely reconciliations. Hiring managers will probe how you've handled missing invoices, tight month-end closes, and tricky approvals — so come with stories that prove your precision.

    1. Quantify your accuracy: On your CV, show numbers that demonstrate your financial stewardship — like the size of budgets you've managed, the number of transactions you processed monthly, or how you reduced reconciliation errors. Specifics beat vague claims like 'managed finances'.

    2. Prepare a month-end close story: Be ready to walk through a time you hit a tight reporting deadline. Explain your process for pulling data, checking documents, and flagging issues early. Managers want to see you're proactive, not reactive.

    3. Know your Kenyan regulations: Brush up on PAYE, VAT, and other local tax requirements. Even if the role isn't tax-heavy, showing you understand the regulatory landscape signals you're a safe pair of hands.

    4. Show your escalation judgment: Think of a moment you had to hold a payment or escalate a red flag. Describe how you weighed the situation and communicated it. This role needs someone who can say 'no' politely but firmly.

    5. Highlight your reporting line comfort: You'll report to a Country Director and Holding Finance — so show you can manage upward. Give an example of how you kept stakeholders informed without being chased.

    6. Demonstrate integrity under pressure: Financial data is sensitive, especially with carbon credit audits. Share how you've handled confidential information or resisted pressure to cut corners. Your track record matters.

    7. Practice explaining finance to non-finance folks: You'll talk to field teams and division heads. Prepare a simple way you've explained a budget variance or a missing receipt issue to someone without a finance background.

    8. Bring questions about their systems: Ask about their accounting software, approval workflows, and audit processes. It shows you're already thinking about how you'll fit in and improve things from day one.
