    Job Description

As a Project Management Assistant, you will help coordinate projects from initial planning through implementation, customer training, go-live, and post-implementation support. You will act as an important link between customers, developers, technicians, suppliers, and internal teams. We are looking for someone who learns quickly, takes responsibility, communicates clearly, and maintains a positive attitude when solving problems.

    Key Responsibilities

    • Assist in preparing project plans, timelines, task lists, and implementation schedules.
    • Follow up with developers, technicians, suppliers, customers, and other project stakeholders.
    • Track project tasks, deadlines, risks, dependencies, and outstanding customer requirements.
    • Provide customers with clear and timely project updates.
    • Maintain accurate project documentation, meeting minutes, action trackers, implementation checklists, and status reports.
    • Organise customer onboarding, system demonstrations, training sessions, testing, and go-live activities.
    • Help collect, verify, and organise customer information required for system setup and implementation.
    • Coordinate the escalation and resolution of implementation and customer-support issues.
    • Conduct regular follow-ups after go-live to confirm that customers are successfully using the system.
    • Assist in testing PayServe features and documenting bugs, customer feedback, and improvement requests.
    • Support the preparation of weekly project status reports for management.
    • Identify project delays or customer concerns early and escalate them appropriately.
    • Build positive, professional, and long-term relationships with customers.

    Required Qualifications

    • Must have a Bachelor's degree in either Project Management, Information Technology, Business Information Systems, Business Administration, Engineering, or a related discipline.
    • One to two years of relevant experience.
    • Strong interns and recent graduates with evidence of responsibility and initiative are encouraged to apply.
    • Excellent written and spoken English.
    • Strong Kiswahili communication skills are also important.
    • Strong organisation, coordination, follow-up, and time-management skills.
    • Confidence communicating with customers and different professional stakeholders.
    • A positive, solutions-oriented attitude and willingness to learn.
    • Ability to remain calm, respectful, and dependable when projects become demanding.
    • Strong attention to detail and commitment to completing assigned tasks.
    • Basic proficiency in Microsoft Excel or Google Sheets, Word or Google Docs, email, and presentation tools.
    • Ability to understand technology and explain it to non-technical users in simple language.
    • Willingness to attend customer sites and support implementations when required.
    • Familiarity with SaaS platforms or property-management systems, project-management tools such as YouTrack, ClickUp, Trello, Jira, Asana, or Monday.com, customer-support, ticketing, CRM, or help-desk systems, software testing and bug reporting, mobile applications, web applications, APIs, or system integrations, digital payments, M-Pesa, smart meters, IoT devices, accounting systems, or access-control solutions.

How to Apply: Send your application to the email provided in the job posting.

Show Coordination Skills That Keep Projects Moving

This role is all about being the glue between customers, developers, and suppliers. Hiring managers will look for proof you can track tasks, follow up without nagging, and communicate clearly under pressure.

    1. Tailor your CV to show coordination wins: Use bullet points that highlight how you managed timelines, updated trackers, or kept stakeholders informed. For example, mention a time you coordinated a training session or resolved a customer issue.

    2. Prepare for scenario questions: Expect questions like 'How do you handle a delayed task?' or 'How do you explain technical issues to a non-technical customer?' Practice clear, structured answers.

    3. Show your tool fluency: Even if you haven't used Jira or ClickUp, mention your proficiency with Excel/Sheets and willingness to learn new tools. Give examples of how you've used these to organise work.

    4. Highlight your communication skills: Since English and Kiswahili are both important, be ready to demonstrate your ability to switch between them. Share an example of a time you communicated complex information simply.

    5. Emphasize your learning agility: The posting says you don't need to know everything on day one. Show how you've quickly picked up new software or processes in past roles or projects.

    6. Understand the product context: Research PayServe and similar property-management or SaaS systems. Being able to talk about how such systems work will set you apart.

    7. Prepare to discuss your initiative: The role values responsibility and initiative. Have a story ready about a time you took charge without being asked.

    8. Ask smart questions: In the interview, ask about the team structure, typical project timelines, and how success is measured in the first 90 days. This shows you're already thinking like a project coordinator.

CareerSasa Safety Alert: Never pay employers or agencies for interviews, training, or job placement. Does a job request payment? Report it immediately using the "Flag" button. While CareerSasa vets job postings thoroughly, always verify opportunities independently.
