    Job Description

    The Sales Administrator will support the sales operations manager and sales partners by administering the sales information system and providing administrative services for the sales department. The role involves data entry, document management, client liaison, and coordination with internal teams to ensure smooth sales processes.

    Key Responsibilities

    • Provide administrative assistance to the sales operations manager and sales partners by generating documents, reports, spreadsheets, filing, and general administration.
    • Record/input sales, reservations, cancellations, exchanges, hand-overs, and legal completions onto the sales ERP system with full customer details.
    • Check data accuracy in sale-related documentation, including prices and contracts.
    • Produce/update monthly report spreadsheets.
    • Produce/amend standard forms for the sales team and partners.
    • Ensure all hard and digital copies of documentation are up to date.
    • Liaise daily with the legal department regarding sales documentation and completion.
    • Ensure smooth transition between clients and internal teams from closure of sales to handover.
    • Communicate important customer feedback internally.
    • Liaise with clients and collate documentation as required.
    • Produce relevant information and documentation for prospective leads.
    • Support the sales team with general operations to meet objectives.
    • Take telephone enquiries from prospective customers and create a database for future use.
    • Liaise with sales partners and marketing, ensuring they receive relevant copies of advertising material, price lists, and other documentation.
    • Assist sales management with marketing duties.
    • Comply with company policies, procedures, and instructions.
    • Contribute to improving the business and enhancing reputation by proposing new ideas and implementing change.
    • Coordinate showings, assist at open houses, and help with closing sales when required.
    • Perform other duties as assigned.
    • Attend mandatory safety trainings and adhere to HSE instructions.
    • Report hazards, near misses, incidents, and accidents promptly.
    • Utilize appropriate PPE as required.
    • Participate in risk assessments, safety audits, and safety drills.
    • Establish JSA's to meet HSE regulations.
    • Ensure PTWs are opened and closed on time for permit-requiring activities.
    • Comply with all company policies, procedures, and work instructions aligned with the IMS.
    • Adhere to applicable legal, regulatory, and customer requirements.
    • Contribute to achieving the company's quality objectives by following established standards.
