    To support its internal operations and client service excellence, RSM is seeking to recruit a competent, highly organized, and proactive Secretary to join its Nairobi office.

    Reporting directly to the Internal Services Officer, the Secretary will play a critical role in ensuring the smooth day-to-day administrative operations of the firm. The position combines traditional secretarial duties with modern administrative responsibilities, including digital systems support, document management, invoicing, client relationship management (CRM) support, and front-office coordination.

    The successful candidate will act as a key support function to partners, managers, and business units, ensuring efficiency, compliance, and professional presentation in all administrative outputs.

    Key Responsibilities

    1. Provide comprehensive secretarial and administrative support to partners, managers, and professional staff.
    2. Type, format, and proofread firm-related letters, reports, correspondence, and other official documents with a high level of accuracy and professionalism.
    3. Ensure all documents meet RSM’s formatting, branding, and quality standards before dissemination.
    4. Raise client invoices sequentially in accordance with internal financial controls and approval processes.
    5. Prepare and process credit notes where required, ensuring accuracy and proper authorization.
    6. Maintain proper records of issued invoices and credit notes for audit and tracking purposes.
    7. Support the finance and internal services teams by ensuring documentation is complete and timely.
    8. Format, compile, and bind financial statements and related documents in line with professional and regulatory standards.
    9. Ensure consistency, clarity, and accuracy in presentation of audit and financial reports.
    10. Coordinate printing, binding, and final preparation of documents for client delivery and regulatory submission.
    11. Support the firm’s Customer Relationship Management (CRM) system by assisting with client onboarding, updates, and data management.
    12. Provide basic training and handholding to internal users on CRM usage.
    13. Resolve basic CRM issues and escalate complex system challenges to the appropriate teams.
    14. Ensure client records are accurate, complete, and compliant with internal policies.
    15. Assist project leaders and internal teams in new and evolving digital transformation initiatives.
    16. Provide administrative and compliance support throughout project lifecycles, including pilot testing, reviews, rollouts, implementation, and troubleshooting.
    17. Support internal policy adherence during system deployments and compliance processes.
    18. Manage and update the meeting room calendar to ensure efficient scheduling and optimal utilization of office facilities.
    19. Coordinate meeting logistics, including room preparation, documentation, and basic administrative support.
    20. Ensure meeting spaces are well-organized and ready for client and internal meetings.
    21. Attend to partners’ and senior management requests in a timely, professional, and confidential manner.
    22. Provide administrative assistance that allows partners and managers to focus on client service and strategic work.
    23. Handle sensitive documents and information with discretion and professionalism.
    24. Assist with reception duties as required, ensuring a professional and welcoming front-office experience.
    25. Handle incoming and outgoing telephone calls professionally and direct them appropriately.
    26. Receive and assist visitors, ensuring they are attended to promptly and courteously.
    27. Manage incoming and outgoing mail, including maintaining accurate inward and outward mail registers.
    28. Collaborate with various business units to provide administrative and operational support as needed.
    29. Act as a liaison between internal services and professional teams to ensure smooth workflow.
    30. Support cross-functional initiatives that enhance efficiency and service delivery.
    31. Carry out any other duties as assigned from time to time by the Internal Services Officer or management.
    32. Remain flexible and adaptable to evolving administrative needs within the firm.

    Required Qualifications

    • Bachelor’s degree in Business Administration, Management, Office Administration, or a related field from a recognized institution.
    • A certificate in a secretarial or administrative course will be an added advantage.
    • Minimum of three (3) years’ relevant work experience in an administrative or secretarial role.
    • Prior experience in a professional services environment such as an accounting firm, audit firm, law firm, consulting firm, or corporate office will be a strong advantage.
    • High proficiency in Microsoft Office applications, including Word, Excel, and Access.
    • Demonstrated ability to conduct internet-based research and prepare professional documents.
    • Familiarity with CRM systems or enterprise software is an added advantage.
